How to add an HTML email signature in Outlook

Important: Outlook 2016, 2019, and 2021 for Windows use the Microsoft Word rendering engine. Your signature will render correctly but some advanced styling may be simplified.

Outlook for Windows

  1. Save your signature as an HTML file

    Copy your SigForge HTML and save it as signature.html on your desktop.

  2. Open it in a browser

    Open signature.html in Chrome or Edge. Press Ctrl+A then Ctrl+C to copy.

  3. Open Outlook Signature Settings

    Go to File → Options → Mail → Signatures. Click New and name your signature.

  4. Paste and save

    Click in the signature box and press Ctrl+V. Set as default and click OK.

Outlook for Mac

  1. Open Outlook Preferences

    Go to Outlook → Preferences → Signatures. Click + to create a new signature.

  2. Copy and paste

    Open your HTML file in Safari or Chrome, select all, copy, then paste into the signature editor.

Outlook Web (OWA)

  1. Open Settings

    Click the gear icon, then View all Outlook settings → Mail → Compose and reply.

  2. Paste and save

    Paste your signature in the Email signature box and click Save.
